We are seeking a skilled and proactive Executive Secretary to provide comprehensive administrative support to our management team. As an Executive Secretary, you will play a critical role in ensuring smooth operations and effective communication within the organization. 


The ideal candidate has exceptional organizational and communication skills, a high level of professionalism, and the ability to handle sensitive information with the utmost confidentiality.

Responsibilities:

  • Manage the schedules and appointments of senior executives, ensuring efficient time management and prioritization of tasks.

  • Coordinate and schedule meetings, conferences, and travel arrangements for the management team.

  • Prepare meeting agendas, presentations, and relevant documentation, and distribute them to participants in a timely manner.

  • Take minutes and prepare accurate and concise meeting summaries, ensuring important decisions and action items are documented and communicated.

  • Handle correspondence and incoming calls, screening and redirecting them as appropriate.

  • Manage and maintain confidential files, records, and documents, ensuring easy retrieval and confidentiality.

  • Assist in the preparation and editing of reports, presentations, and other documents.

  • Conduct research and compile data for various projects and reports as assigned.

  • Manage and organize the flow of information between the management team and other departments, ensuring effective communication.

  • Anticipate the needs of the management team and provide proactive support to ensure smooth daily operations.

  • Liaise with internal and external stakeholders, including clients, vendors, and partners, on behalf of the management team.

  • Assist in the coordination and planning of company events and activities.

  • Maintain an organized office environment, including managing office supplies and equipment.

Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.

  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.

  • Strong written and verbal communication skills, with attention to detail and accuracy.

  • Proficiency in using office software, including word processing, spreadsheets, and presentation tools.
